Healthcare transport between wards and sites
Medicines and supplies travel every day between warehouses, wards and hospital sites. A web platform and an app to always know where they are, who is handling them and when they arrived.
The starting point
In a healthcare organisation with several hospital sites, pharmaceutical and general supplies move constantly: inside the main hospital and towards the other facilities, often through intermediate transit points. Formula Servizi handles these transports on behalf of the organisation.
Full traceability was needed, from request to signed delivery, without adding work for the operators. We built the solution on the experience gained with patient transport and proof of delivery.
How it works
- 1The request arrivesThe code on the paper request is scanned, or the request is entered manually on the web or in the app.
- 2The transport unit is preparedRoll cage or pallet: parcels, type (chilled or ambient), temperature probe, notes and photos.
- 3The tripUnits leave together and, if needed, pass through one or more transit points.
- 4The deliveryAt the ward the entrance QR code is scanned: digital signature, reason code and, if needed, a photo of the goods.
The route follows the organisation
Each ward is a cost centre, and cost centres determine the route the goods take. They can also be loaded in bulk from Excel or CSV.

The app for those making deliveries
The operator creates or selects the transport unit, links the requests and sets off. On arrival they scan the ward’s code and immediately see the expected deliveries: they collect the signature, choose the reason code and attach a photo when a signature is not possible.
The app also works offline: between buildings, basements and roads from one site to another coverage is not always guaranteed, and data syncs as soon as possible. Each operator only sees the requests they are handling.
What changes
Every request has a complete history that can be checked at any time: when it was picked up, on which transport unit, which points it passed through, who delivered it and who received it, with temperatures and documents. Fewer calls to find out where goods are, and proof of delivery always at hand.
